Key takeaways
- Open online booking for returning patients and simple treatments; route new injectables and bigger treatments to a consultation.
- Patients want a price anchor more than an instant quote, so show starting prices beside the Book button.
- Build services in Boulevard or Zenoti with real durations, rooms, devices and qualified providers, or the calendar will double-book.
- Deposits, intake forms and registered text reminders stop most bad bookings before they happen.
Online booking for a med spa should be open for most patients, but not for every treatment. Returning patients and simple services should be bookable in under a minute from any page. New injectables patients and bigger treatments should book a consultation instead. Run it inside your booking software so deposits, intake and reminders happen without the front desk.
Should med spas offer online booking
Yes, because your patients bring their expectations from every other app they book through, and the med spa that makes them call during work hours loses them to one that doesn't. Speed here is not about emergencies. It is about the moment someone decides.
That moment is rarely during your front desk's best hour. It is 10 p.m., after a friend shows off their results. It is a lunch break, three months before a wedding. It is the week after New Year, when a resolution is fresh. If booking means calling tomorrow, the decision cools overnight.
Not every treatment should open the same way, though. Use the visit type to decide.
| Visit | How to offer it online | Why |
|---|---|---|
| Returning injectables patient, same treatment | Book directly with their provider | The chart and plan already exist |
| New injectables patient | Book a consultation, or a consult-and-treat slot if your medical director allows it | Screening comes first |
| Laser hair removal, next session in a package | Book directly | The series is already planned |
| Laser hair removal, first visit | Book a consultation or test visit, if your protocol uses one | Skin and settings are assessed first |
| Facials and peels | Book directly, with intake forms attached | Low complexity, high repeat |
| Body contouring or laser resurfacing | Book a consultation | Bigger ticket, candidacy and plan to discuss |
Should you take bookings online?
Can you price and schedule a new patient without seeing it?
- Yes Online booking Customers pick a time
- Partly Book an estimate They pick a time for you to look
- No Call or quote request Collect details, then call back fast
Booking vs instant quotes
Med spas rarely need true instant quotes. What patients want is a price anchor before they commit to a time. A plumber's price depends on what is behind the wall. A med spa's price depends on units, syringes, areas or sessions, and patients know it.
So put the pricing model beside the Book button: starting prices per unit or per syringe, laser hair removal by area, packages by number of sessions. If you charge for consultations, say whether the fee is credited toward treatment. A quote tool only earns its keep where the patient really is assembling something, such as a laser hair removal package covering several areas, and even then it should end on a time slot, not a "we'll be in touch".
Setting it up with your software
- Decide the online menu. Use the table above to mark each service as bookable or consultation-first. Hide the rest from the online menu rather than letting patients guess.
- Build services with real resources. In Boulevard or Zenoti, give each service its true duration and cleanup buffer, the room and device it needs, and only the providers qualified to perform it. This is what stops two laser bookings landing on one machine.
- Require a card or deposit where it matters. First visits, long appointments and high-demand providers are the usual candidates.
- Attach intake and consent forms. Use the forms your medical director approves and send them automatically when the booking is made, so screening is done before the patient arrives.
- Put deep links everywhere. The header of every page, each treatment page (linked to that service), your Google Business Profile booking link and your Instagram profile.
- Tag every link. Add source tags to each booking link so your reports show which channel produced the booking, not just that one happened.
- Book yourself as a new patient. Do it on a phone, on mobile data, start to finish. Fix every place you hesitated.
Preventing bad bookings
Bad bookings come from three places: a new patient in a treatment-only slot, no-shows, and patients who book something they are not ready for. Each has a fix you can set once.
- Route new patients. A first-time visitor who picks a returning-patient injectables slot should be steered to the consultation instead. Your software's new-client rules or a short intake question can do it.
- Make no-shows cost something. A deposit or card on file with a clear cancellation window, stated before checkout, changes behavior more than reminders alone.
- Remind by text, legally. Texting patients from a 10-digit business number requires A2P 10DLC registration of your brand and campaign (The Campaign Registry), or carriers may block the messages. Get consent before any promotional texts, and honor STOP on every message (TCPA rules, CTIA principles).
- Keep a waitlist. When someone cancels, a waitlist text fills the slot, which protects the provider's day more than any policy.
- Review the first month. Look at every booking that went wrong and adjust the menu or the rules, not the patient.
If missed calls are where patients slip away, the missed-call text-back guide covers it. The website design guide for med spas covers where the booking buttons belong.
How VETS Growth Marketing helps
We set up online booking inside your Boulevard or Zenoti account, connect it to your website, Google profile and text reminders, and track which channel books which treatment. Everything stays in accounts you own. We scope the setup as a project with a date and report in booked and completed appointments. Bring your current menu to a growth consultation and we will mark what should open online first.
