Key takeaways
- An AI receptionist answers every call, asks which pest and where, books into route slots and offers the plan.
- It never gives safety or exposure advice, never confirms a pest, and never handles a cancellation on its own.
- Booking directly depends on what PestPac, GorillaDesk or FieldRoutes allows in your setup; check before you buy.
- Test it on real call recordings before it goes live, starting with after-hours calls.
An AI receptionist for a pest control company answers every call in a natural voice, finds out which pest, where and how bad, books an inspection on a route you already run, and passes anything sensitive to a person. It earns its keep in spring and summer, when calls stack up while techs are on route and the office is on the other line.
What it handles
- After-hours and overflow calls, including the evening termite swarm and the weekend wasp nest, so nobody hits voicemail and calls the next company
- Intake in your words: which pest, where in the home, how long, owner or renter, address, pets and children in the home
- Booking into open slots on days a tech is already near the caller, where your software allows it
- Plan questions: how the initial service works, what the quarterly or bi-monthly plan covers, how re-services between visits work, all from answers you approve
- Existing customers: next visit date, a re-service request when ants come back between visits, a change of gate instructions passed to the office
- Clear transfers to a person, with a summary of the call sent ahead
- Call records for every answered call, so you can track which marketing drove it (call tracking help)
What the AI receptionist handles
| Call | The AI receptionist | Your team |
|---|---|---|
| Common questions | Hours, services and areas | Anything unusual |
| Booking | Takes details or books a slot | Confirms complex work |
| Urgent calls | Passes them to a person | Calls back fast |
| Complaints | Takes a message | Handles them personally |
What it should not handle
Some pest control calls need judgment, a license or a careful human voice. Set these as hard hand-off rules:
Safety and exposure questions : A child touched a bait station, a dog ate rodent bait, someone feels unwell after a treatment. The AI tells the caller to contact Poison Control or their vet now and alerts your on-call person. It gives no medical or product advice.
Treatment safety claims : The AI never says a product is "safe" or "harmless". It repeats only the prep and re-entry instructions you have approved from the label.
Pest confirmation : It can say a description sounds like termites and book an inspection. It never confirms termites or anything that belongs in an inspection report.
Cancellations and complaints : These go to the person who handles retention. A cancellation is a conversation about a plan worth years of visits, not a form.
Stinging insects near an allergic person : Treat it as urgent. Transfer to the on-call tech or manager instead of booking the next open slot. If someone has already been stung and is having a reaction, the AI tells the caller to call 911 before anything else.
Be open that the caller is speaking with an automated assistant, and make reaching a person easy at any point.
Integrations with your software
How far the receptionist can go depends on your field service software. PestPac, GorillaDesk and FieldRoutes each handle customers, schedules and routes differently, and what an outside tool can read or write varies by product, plan and setup. Check this before you pick a receptionist, not after.
| Integration level | What the receptionist can do | Good fit when |
|---|---|---|
| Direct booking | See open slots and route days, book the inspection, send the confirmation | Your software exposes scheduling to outside tools |
| CRM hand-off | Create the lead with full intake notes; the office books it in minutes | Scheduling stays inside your software |
| Notes only | Text or email a call summary to the office | You want to test before connecting anything |
Any follow-up texts it sends need consent and a STOP option (the federal TCPA rules). A missed-call text-back can run alongside it as a safety net.
How we set it up
- Assess. We listen to a sample of your recorded calls and list what callers ask in each season, from swarm questions to rodent and mosquito calls.
- Prioritize. We decide what it answers, what it books, and every hand-off rule, starting with after-hours calls.
- Execute. We write the script from your approved answers, connect your software at the level it supports, and test it against real call scenarios before launch.
- Measure. We review transcripts weekly at first and report calls answered, inspections booked and plans sold from those calls.

How VETS Growth Marketing helps
We set up AI receptionists for pest control companies in accounts you own, as a dated project with a test period and clear hand-off rules. We report in calls answered and booked recurring plans, not minutes of AI talk time. Book a growth consultation and we will walk through how your calls are handled today and where they slip.
