Key takeaways
- Photo quoting doesn't fit a dispensary; the useful version is an instant answer on out-the-door price, deals, points and stock.
- The AI reads prices from your live menu, but tax, deal-stacking and points rules must be written and approved by a person.
- Check a weekly sample of AI answers against real receipts, and recheck the rules before every 4/20 and holiday deal.
- A dispensary's open quote is the uncollected pre-order; a reminder before the hold expires recovers it.
AI estimates for a dispensary are not photo quotes; nobody photographs a job for a dispensary to price. What customers want estimated is the total: what an eighth costs out the door after tax, whether today's deal stacks with their points, what delivery costs where it's allowed. AI can answer those from your live menu, provided a person writes the rules.
How price and stock answers work
An AI price answer works like a quote: it reads the shelf price and stock from your menu, applies the rules you wrote for tax, deals and points, and replies with a number and its conditions. The question can arrive by phone, website chat or a text the customer started.
A worked example with round, hypothetical numbers. A customer asks: "How much is the house eighth with the weekend deal, and can I use my points?"
- The AI finds the item on the live menu: in stock, shelf price $40.
- It finds the weekend deal in the POS: $8 off that category, ends Sunday.
- It checks your stacking rule: in this store, points can't combine with category deals.
- It applies your tax rule. Say your taxes add a quarter on top of the discounted price: $32 plus $8, so about $40 out the door.
- It replies: "The house eighth is in stock. With the weekend deal it's about $40 after tax, and points can't be combined with this deal. Want a pre-order link? The register total is final."
Every step after the first comes from a rule a person wrote. That is the whole design. The AI doesn't decide how tax applies or which deals stack; it applies what you decided, the same way every time, including at 9 p.m. when the counter is too busy to answer.
How photo quoting works
- The customer sends photos From a text or a form
- AI drafts the quote From your price book and rules
- A person reviews it Nothing is sent unchecked
- The customer receives it With a way to book
- Follow up open quotes Until a yes or a no
What you need first
- A live menu feed. Prices and stock straight from your dispensary POS, not a copy someone updates by hand. A stale feed produces confident wrong answers.
- Your tax rules, written out. Which taxes apply to adult-use and to medical sales, and whether they apply before or after a discount. Have your accountant or compliance lead confirm them.
- Deal rules in plain words. Start and end dates, which products, purchase limits, and whether the deal is for medical patients only.
- Stacking and loyalty rules. What points are worth, when they can be redeemed, and which deals they combine with.
- Delivery rules, where delivery is allowed. Zones, minimum orders and fees, matched to your license.
- A list of what it must never price or promise. Price matches, holds beyond your policy, products for a condition, and anything that isn't live in the POS.
Accuracy and human review
Accuracy comes from the rules, so a person signs off on the rules and checks a sample of answers every week.
- Answer in "about" and name the conditions. Rounding and last-minute stock changes happen. Every answer should end by saying the register total is final.
- Check against receipts. Each week, pull a handful of AI answers and compare them with what those customers actually paid. Any gap points to a rule that needs fixing.
- Recheck before the big weeks. Deals change fastest around 4/20, the holidays and product drops. Review the rules the day before each one goes live, not after the first complaint.
- Keep medical pricing private. The AI should never confirm in an open channel that someone is a patient. Medical pricing questions get the general rule and a pointer to the counter.
Following up open pre-orders and unanswered questions
In a dispensary, the open quote is the pre-order nobody has picked up and the price question that never became a visit. Both can be followed up, carefully.
- Before the hold expires: one reminder that the order is ready and when it will be released back to the shelf.
- After it lapses: one message offering to place it again, with a link.
- A price question with no visit: nothing, unless the customer opted in to hear from you. If they did, one note when the item they asked about goes on a deal.
Texts need the groundwork first: A2P 10DLC registration (The Campaign Registry), a provider that accepts cannabis content, consent for anything promotional, and STOP honored on every message (TCPA rules). The AI receptionist guide for dispensaries covers the phone side, and marketing automation for dispensaries covers the follow-up flows.
How VETS Growth Marketing helps
We build dispensary price and stock answers as a project with a date: the menu feed, the written tax, deal and points rules, and a weekly check against real receipts. The tools and data stay in your name, and a person on your team approves every rule. We report questions answered, pre-orders started and pickups recovered. Book a growth consultation to see how many price questions your store leaves unanswered.
